Responsibilities:
The Executive Assistant is primarily responsible for various administrative and clerical needs of the CEO/President. When time and workload permits, assignments will be requested and supervised by other executives such as the Chief Operating Officer, the Chief Finance Officer and the Vice President of Human Resources. Therefore, the Executive Assistant position requires the flexibility to change with the demands of the day. The position requires the highest level of professionalism, trustworthiness, and confidentiality.
Specific responsibilities include:
- Manage CEO’s calendar and appointments when requested.
- Compose emails, correspondence, and reports as directed by CEO.
- Organize meetings and send notifications.
- Prepare and distribute meeting agendas with direction from CEO or designee.
- Take minutes for meetings such as Board of Trustees, QAPI, Resident Council and Safety Committee.
- Seek to implement processes that would improve efficiency and productivity for the CEO.
- Input revisions to policies, procedure manuals and forms when requested.
- Participate in educational in-service trainings and meetings.
- Participate in planning and running events.
Qualifications – Education & Experience:
- Associate’s degree in business administration or related field preferred.
- Considerable knowledge and experience with administrative procedures and working with executives.
- Basic accounting knowledge and experience is helpful.
- Basic human resources knowledge and experience is helpful.

- Be self-directed, detail-oriented, and highly organized with excellent time-management skills.
- Be observant and eventually anticipate the business needs of supervisor(s).
- Demonstrate excellent written and verbal communication.
- Demonstrate proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Publisher.
- Demonstrate proficiency with internet functionality and search engines.
- Ability to work independently with little supervision and to correctly determine priority of duties and assigned projects.
- Ability to keep business, employee and resident conversations and information confidential.
- Present a positive image and demeanor to employees, residents and guests in appearance, language, and personality.
- Creative ability is helpful in the development of innovative ideas to increase efficiency and effectiveness of processes.
- Ability to handle job-related stress in a positive manner and deal with staff in a spirit of cooperation.
